As an Operations Executive, you’ll act as the bridge between sales, operations, and quality assurance — ensuring inspections run smoothly, documentation is accurate, and reports are delivered on time. You’ll play a key role in data management, reporting, and process optimization using Excel and Google Sheets.

Key Responsibilities

Inspection Operations & Coordination

  • Coordinate and monitor vehicle inspections to ensure timely completion.

  • Manage inspectors’ schedules and maintain inspection trackers.

  • Handle follow-ups, re-inspections, and issue logs.

  • Support sales by scheduling off-hour inspections when needed.

Documentation & Reporting

  • Maintain inspection records and non-conformance logs in Excel/Sheets.

  • Prepare daily and weekly operational reports and dashboards.

  • Analyze trends to identify process gaps and recommend improvements.

  • Handle lead creation, day-end reporting, and payment link generation.

Stakeholder Coordination

  • Act as liaison between sales, operations, and customer service for smooth handovers.

  • Share regular updates on inspection progress and key metrics.

  • Manage escalations and coordinate complex cases with senior teams.

Process & Data Management

  • Maintain data accuracy across CRM and spreadsheet systems.

  • Track KPIs and generate data-driven insights for process improvement.

  • Support workflow automation and develop simple reporting templates.

Requirements

  • Bachelor’s/Diploma in Business Administration, Operations, or Finance.

  • 2+ years of experience in operations, data management, or reporting.

  • Advanced skills in MS Excel/Google Sheets (VLOOKUP, Pivot Tables, dashboards).

  • Experience with CRM tools (Salesforce, HubSpot, or Zoho).

  • Strong analytical, coordination, and communication skills.
